SALES COORDINATOR

 

The Sales Coordinator is a vital member of the Blackstone suite of business lines and will  be responsible for providing ongoing support to all customer focused, revenue generating, and commercial support activities. The role will require a dynamic, organized, and driven professional who is committed to exceptional customer service, a keen eye for detail, and a commitment to support a growing business.

Core Responsibilities

  • Supporting the sales leadership & execution team on all revenue generating activities
  • Review and distribute incoming and outgoing correspondence – including electronic communications, contracts, letters, forms, spreadsheets, presentations, electronic files, etc.
  • Proposal coordination, assemble documents for tenders/proposals/bids/quotes/budget estimates/pre-qualifications
  • Coordinate the scheduling, distribution, and utilization of all marketing and customer event activities
  • Develop and manage a logical and efficient storage and filing system for quick retrieval of sales collateral and documentation
  • Provide strong technical writing support to proposal teams and work closely with subject matter experts identifying benefits and value-add content for proposal submissions
  • Collection and filing of all confidential and business information as required and ensure files are easily retrieved
  • Control and process documents, drawings and project deliverables in accordance with company policies and procedures
  • Serve as the company concierge for our bidding groups (i.e. sales, account management, executives) to collaborate with our shared service groups (i.e. HR, operations, Finance)
  • Manage a fast-paced proposal development process for a variety of stakeholders in multiple service lines
  • Manage & update the company sales pipeline via Bluelink (ERP) and input from our sales team
  • Manage the travel logistics for the sales/commercial team on an as needed basis
  • Maintain up to date marketing library of resumes, project profiles
  • Manage the gathering of in-depth information from a variety of shared resources groups within the company
  • Proving additional support to the organization as required or inspired
  • A willingness to support the revenue activities and customer needs even if they occasionally occur outside of traditional business hours

Education, Experience and Skills Required

  • University Degree in Business Administration or Marketing is considered a strong asset
  • 2-5 Years in a similar role (Sales/Marketing Coordinator)
  • Proficient in Microsoft Office Suite
  • Experience working within a CRM/ERP
  • Exceptional written, verbal communication, and interpersonal skills
  • Strong value system and the highest level of personal and professional integrity
  • Significant personal presence, credibility and positive demeanor
  • Diligence and attention to detail
  • Energetic, team-oriented individual with a positive attitude that works well in an entrepreneurial environment

Working Conditions

Working conditions are normal for a sales-driven organization. The majority of your hours will fall under standard office hours, but the role will occasionally require some evening/weekend activity, as much notice as possible will be provided.
